1. The service
These terms are between you and VerbaPost Inc., a Tennessee corporation based in Mt. Juliet, Tennessee.
We call people, record a story they tell, turn it into a letter, and mail it on paper to someone they choose, with a code that plays the recording. Usually a financial advisor or other professional pays for it (the sponsor): either as a free gift to people on their list, or for their own clients' families.
The printed letter is the keepsake. The recording is online for a limited time (section 3).
2. The call
- We only call a number after its owner asks us to on our website and gives written consent. We check the national Do Not Call registry right before dialing.
- The call uses an automated system and a recorded voice: our biographer asks one question, and you talk for up to 15 minutes. You can hear it back and record it again.
- The call is recorded and transcribed, and the story is printed and mailed to the person you named.
- You can take back your consent at any time: use the opt-out link we give you, reply STOP to a text, or email help@verbapost.com.
3. What we keep, and for how long
The recording stays online for 60 days from the day it was made. After that it is deleted, and the code on the letter shows a page saying so. Download it to keep it.

Reminders: Before the recording is deleted we email a reminder with a download link, on day 45 and again on day 55. For a letter an advisor arranged for their client, it goes to the family email address the advisor gave us, and the advisor gets a copy. For a letter you requested yourself, it goes only to the email you gave us, and only if you asked for it. VerbaPost is not responsible for a recording that wasn't downloaded in time.
To get a copy of your letter or transcript, or to ask us to delete your information, email help@verbapost.com. We keep the consent and opt-out records we need to show we had permission to call and to keep honoring an opt-out.
4. Who can see your story
The sponsor. The advisor who sponsored your letter can see your name, phone number, the recipient's name and address, whether you asked them to contact you, your consent record, the letter and the transcript, and can listen to the recording while it's online. Advisors keep these records because the letter is sent in their name. They only know you'd like a call if you check that box.
The recipient gets the letter and, through its code, the recording.
Companies that help us run the service, only for that purpose: Twilio (calls and texts), OpenAI (transcription and formatting), PostcardMania (printing and mailing), Resend (email), Stripe (advisor payments), and our hosting and database providers.
5. Ownership
Your story (the recording, the letter and the transcript) belongs to you and the family you wrote it for. The sponsor doesn't own it, even though they keep a copy for their records. By using the service you let us record, transcribe, print and mail it, and host the recording for the 60 days above.
6. For advisors
- Prospect invitations are prepaid credits. A credit is used only when the mail house accepts a letter. A letter that fails to send costs nothing. Unused credits stay in your account.
- Letters and invitations carry your firm's name, which makes them your firm's communications. Your firm is responsible for its own compliance (including the SEC Marketing Rule, the TCPA, do-not-call rules, and record keeping) and for having the right to mail the people on your list.
- We give you a PDF of each mailed letter and a copy of your landing page for your records.
7. Not a legal document
Letters, recordings and transcripts are keepsakes. They are not a will, trust, estate plan or any other legal document. VerbaPost is not a law firm, investment adviser or broker-dealer, and nothing we provide is legal, investment, tax or compliance advice.
8. Privacy
- We don't sell your personal information or your recording.
- We use your email only for your own letter: to say it was mailed and to remind you before the recording is deleted. No marketing.
- OpenAI processes recordings only to transcribe and format them. Your data isn't used to train its public models.
- Data is encrypted in transit and at rest.
9. Text messages
We send two kinds of text, and nothing else:
- A link you asked for. An invitation letter prints a keyword and our number. Texting that keyword is your request for a link, and we send one reply containing it.
- A reminder for a call you scheduled. If you choose "call me at a time I pick" on our website, we text that number one reminder about 15 minutes before the call.
No recurring, promotional or marketing texts. No mobile information is shared with third parties or affiliates for marketing or promotional purposes, and text-messaging opt-in data and consent are not shared with any third party.
Cost: Message and data rates may apply. VerbaPost doesn't charge for texts.
Opting out: Reply STOP at any time. We also add the number to our do-not-contact list, so we won't call it either. Reply HELP for help, or email help@verbapost.com. Carriers aren't liable for delayed or undelivered messages.
